Everything a shift schedule needs, and nothing else
Even Shifts is a web-based employee scheduling system. Team members submit availability and preferences from their phone; the scheduling engine builds a fair, balanced roster automatically. The product interface is in Hebrew (RTL) and serves teams in Israel — this page describes its features in English.
Automated Scheduling
The core of the product. A manager opens a scheduling period, defines shifts and role requirements, and the built-in scheduling engine assigns employees to shifts automatically — respecting submitted availability, personal preferences, role qualifications, minimum rest between shifts, maximum-shift limits, and long-running fairness balances (total shifts, weekend and holiday shifts). The manager can review, adjust any assignment manually, and publish. Publishing notifies every scheduled employee.
Employee Database
A team roster holds every employee's profile: display name, contact details, role(s), group membership, personal scheduling rules (e.g. exemptions, maximum shifts, minimum rest), standing weekly preferences and leave records. Managers invite employees by email or WhatsApp link; permissions separate managers, group managers and team members. Each team sees only its own data.
Availability & Preference Submission
Before each scheduling period, employees mark each shift as preferred, dispreferred or unavailable, directly from their phone. Recurring weekly patterns are saved and pre-filled automatically. Managers see live submission status and can send reminders.
Vacation & Leave Tracking
Employees record unavailability date ranges — vacation, army reserve duty, sick leave, studies — on their profile or per period. Leave ranges block automatic assignment for those dates, are visible to the manager on the roster and in each employee's profile, and can require manager approval when submission windows are restricted.
Shift Swapping
An employee who cannot make an assigned shift requests a swap or a takeover from within the schedule. The receiving employee accepts, the manager approves, and the roster, notifications and synced calendars update automatically.
Fairness Balancing
Shift counts, weekend closures and holiday closures are tracked per employee as running balances that carry across scheduling periods. Whoever carried more load in one period is compensated in the next. Balances are transparent — every team member can see their own and their peers' standing.
Notifications & Reminders
Push notifications and in-app messages for published schedules, upcoming shifts, submission openings and deadlines, swap requests and manager decisions.
Calendar Sync & Reports
One-tap export of personal shifts to Google Calendar, printable roster views, per-role load reports and presence reports for any date range.
Platform
Runs in any modern browser, optimized for mobile, installable to the home screen as a web app (PWA) — no installation or IT setup required. Sign-in with Google. Free for teams of up to 5; flat team-based pricing above that.
